From incoming enquiry to organised opportunity

01 · An enquiry arrives

It’s 21:47. A buyer has just enquired.

Your team is off for the evening. The message sits in an inbox until somebody next looks.

02 · Without a system

Without a reply, the lead goes quiet.

Nobody answers until the office opens. Whether they hear from you again depends on who remembers, and the buyer has the whole night to look elsewhere.

03 · First response

With WSD, a reply goes out straight away.

The first answer lands while the buyer is still looking, and it asks the first useful question.

04 · Qualification

Short questions become structured details.

Budget, timing, bond status and viewing preference are captured as fields, not buried in a thread.

05 · Handover

Your agent gets a summary, not a thread.

Who is asking, what they want and how ready they are, sent to the right person in one message.

06 · Next action

The next step is already lined up.

A viewing is proposed, a follow-up is scheduled if nobody replies, and your agent is reminded before the viewing.

Hi Thandi, thanks for your enquiry. It’s still available. I’m the agency’s assistant, so I’ll collect a few details for the agent. What budget range are you working with?

  5. Thandi M.

Around R2.8m to R3.2m. I’d like to move within 60 days and my bond is pre-approved. Saturday morning would work for a viewing.

Connect the steps between enquiry and follow-up.

Most property businesses already have the pieces: a website form, WhatsApp, email, a calendar. WSD designs the connections between them, so an enquiry keeps moving when nobody is free to push it.

Each of these is configured around your business. What can be connected depends on the tools you use and the access they allow, and we confirm that before we build anything.

Faster lead response

A first reply goes out as soon as the enquiry arrives, in wording set up for your business.

Structured lead qualification

Budget, timing, bond status and viewing preference are captured as fields an agent can scan.

Consistent follow-up

Every lead gets the follow-up you decided on, whoever is busy that week.

Viewing and appointment coordination

Qualified leads are offered viewing times, and the booking lands in the agent’s calendar where your tools allow it.

Cleaner handover to the agent

The agent opens one summary with who is asking, what they want, how ready they are and the next step.

Services

AI automation is the main work. Web design sits alongside it, and can be the first project if your website is part of the problem.

  1. AI lead response and qualification

New enquiries get a timely first reply. By the time an agent picks one up, the usual questions already have answers.

  2. Follow-up automation

A consistent follow-up process, so a promising enquiry is not forgotten when the team is busy.

  3. Viewing and appointment workflows

Support for the steps between a qualified enquiry and a booked viewing or conversation, where your calendar and tools allow it.

  4. Lead management and integrations

We connect your forms, messaging channels, calendars and existing systems where technically supported, so lead details live in one place.

  5. Custom automation and AI agents

If your business needs something more specialised, we scope and build it around your tools and your process. What is possible depends on the systems you use, and we confirm that before we build.

  6. Web design and conversion-focused landing pages

Polished websites that help visitors understand your offer, take action and send an enquiry.

Diagnose before you prescribe.

Not every slow response is an automation problem. Before WSD recommends anything, we look at how enquiries reach you today and where they stall.

If automation is not the right answer, we will say so.

Book a discovery call (opens in a new tab)The first step is a conversation.
  1. 01Diagnose

Understand how enquiries arrive, how they are handled, and where time or opportunities are being lost.

    Questions we start with

    • Where do enquiries arrive: portals, website forms, WhatsApp, phone calls?
    • Who replies, and how long does it take?
    • What happens after the first reply?
    • Where does each lead’s information end up?
  2. 02Design

Recommend the simplest practical solution for the real problem. Not every problem requires AI.

  3. 03Build and improve

Implement the agreed system, test the workflow, and identify improvements based on how it performs.

Questions we get asked

Short answers. Anything that depends on your tools or scope is confirmed during discovery.

  • It designs and builds systems that handle repetitive, rule-based work for you. For a property business that usually means replying to new enquiries, collecting key details, organising leads and passing a clear summary to an agent. WSD starts by looking at how enquiries are handled today, then recommends what is worth automating and what is not.

  • Independent real-estate agents, estate agencies and agent teams, property groups, and residential and commercial property-management firms. WSD is based in Pretoria and works remotely with property businesses anywhere in South Africa.

  • Typical examples are first replies to new enquiries, collecting budget, timing and viewing preferences, qualifying leads, follow-up reminders and messages, and arranging viewings. What is possible depends on the tools you use and the access they allow, which we confirm during discovery.

  • No. It takes the repetitive first steps off your team so agents spend their time on conversations, viewings and relationships. Where a person needs to take over, the workflow is designed to hand the lead across with the details already collected.

  • Often, yes. We look at the forms, messaging channels, calendars and CRM you already use, and at what each one lets us connect. If a tool cannot be integrated we say so and suggest an alternative. Integrations are confirmed during discovery.

  • It does not diagnose maintenance problems, approve repairs or spending, make financial decisions, interpret leases or disputes, or make up bookings, prices or account details. Anything like that goes to a person on your team, with the original message and the details collected so far.

  • Messages that look urgent, such as a tenant reporting a burst geyser after hours, are flagged and passed to the person you choose, with a short summary. The assistant can let the sender know their message has been passed on. It does not tell them what is wrong or promise when someone will arrive.

  • An AI automation setup typically takes about 2 weeks from kickoff and a website about 14 days once content is in hand. The exact timeline depends on the scope and the tools involved, so we confirm it during discovery.

  • The AI automation build is R9,500 once-off, with a founding rate of R7,500 for the first three property businesses. Price moves with scope: how many agents you need (additional agents start from R2,500 each), which tools have to be connected, and whether custom development is involved (from R12,000). We confirm scope in discovery before quoting.

  • No. Third-party API usage, such as AI model providers, is paid by the client. Typical usage is around R100 to R300 a month, but actual costs vary by provider and by how much the system is used. We explain the likely costs during discovery so they are not a surprise.

  • We test the workflow with you, then look at how it performs and identify improvements. Ongoing support is available through monthly retainers (Maintain R1,500, Grow R3,000, Partner R5,500), and the right scope is decided after we review your needs.

  • Yes. WSD is based in Pretoria and works with South African property businesses first. The United States is our chosen international market. International pricing is provided on enquiry.
