Privacy policy

White Space Designs (“WSD”, “we”, “us”) is a web design and AI automation studio based in Pretoria, South Africa, operated by Jason Russell. This policy explains what personal information we collect through whitespacedesigns.co.za, why we collect it, and how it is handled.

We only collect what is needed to respond to enquiries and run the site properly:

• Contact form submissions: name, business name, email address, phone number, website address (optional), the main challenge you choose, any message you write, the page you sent it from, and the time it was sent.
• Booking details: if you book a call via Cal.com, your name, email and selected time slot are handled by Cal.com under its own privacy policy.
• Site analytics (only if you accept cookies): basic, aggregated usage data such as pages viewed, approximate location and device type, used to understand traffic and improve the site.
• Lead research data: where WSD is running lead-generation research for a prospective client engagement, publicly available business information (company name, public contact details) may be gathered. This does not apply to visitors browsing whitespacedesigns.co.za itself.

We do not collect payment card details on this site. Invoicing happens directly via email or EFT once a project is agreed.

• To respond to enquiries submitted through the contact form or booking link.
• To prepare quotes, proposals and project scoping for prospective clients.
• To understand how visitors use the site, if you accept analytics cookies, so we can improve it.
• To meet legal or accounting obligations (for example, invoicing records).

White Space Designs processes personal information in accordance with South Africa’s Protection of Personal Information Act (POPIA). We process information only:

• With your consent (for example, submitting the contact form, booking a call or accepting analytics cookies), or
• Where necessary to take steps toward a contract at your request (for example, preparing a quote), or
• Where necessary to comply with a legal obligation (for example, financial record-keeping).

You have the right to request access to, correction of, or deletion of your personal information at any time. You may also lodge a complaint with South Africa’s Information Regulator (inforegulator.org.za) if you believe your information has been mishandled.

This site relies on a small number of trusted third-party services, each governed by its own privacy policy:

None of these providers are permitted to use your information for their own marketing purposes on our behalf.

The site asks before it loads any analytics. If you choose Accept, it uses analytics cookies from Google Analytics and Microsoft Clarity. Clarity records anonymised clicks, scrolling and page interactions to produce heatmaps, and masks form fields. If you choose Decline, neither runs. We do not use third-party advertising cookies. Your choice is stored in your browser, and you can clear it, or any cookies, in your browser settings at any time without affecting core site functionality.

Enquiry and contact form data is retained only for as long as needed to respond to your enquiry and, if a project proceeds, for the duration of the client relationship plus any period required for accounting records under South African law. Contact form submissions held by our form service are deleted automatically after two years at the latest. You can request deletion of your data at any point where we are not legally required to retain it.

• Request a copy of the personal information we hold about you.
• Request correction of inaccurate or outdated information.
• Request deletion of your information, subject to legal record-keeping requirements.
• Withdraw consent for us to contact you at any time.
